These items see constant contact from different people but are often left out of a standard cleaning scope entirely.

Why shared equipment needs its own attention

Equipment that multiple volunteers and staff touch throughout the week — without a single dedicated owner — tends to fall through the cracks. No one considers it “their” job to wipe down the sound booth console or the coffee urn handles, so it often doesn't happen unless it's explicitly written into a cleaning scope.

Shared equipment worth naming explicitly in your scope

• Sound booth and AV equipment: Consoles, microphones (handles and stands, not capsules), remote controls
• Fellowship hall kitchen equipment: Coffee makers, warming trays, serving utensils, appliance handles
• Folding tables and chairs: Wiped down after events, especially food-related gatherings
• Children's ministry equipment: Check-in kiosks, name-tag printers, shared classroom supplies
• Custodial and maintenance equipment storage: Often overlooked entirely, but worth a periodic clean-out

Building this into your cleaning contract

The fix is straightforward: name these items explicitly in your written scope of work rather than assuming “surface dusting” covers them. A cleaning company can't be expected to know that the sound booth console needs weekly attention unless someone tells them.

What to ask before signing a contract

Walk your provider through the building and point out every piece of shared equipment you can think of. Ask them to confirm, in writing, which of those items are included in the regular scope and which would require an add-on. This conversation up front prevents the slow, invisible neglect that shared equipment is prone to.
