Switching cleaning companies can feel like a big lift — and without a plan, the transition period can mean a missed clean before a Sunday service or confusion over building access. But done right, switching is straightforward and the disruption is minimal.

Step 1: Review your current contract

Before doing anything else, re-read your existing contract. Check the notice period for cancellation (typically 30–60 days), any early termination penalties, and what happens to keys or access codes at the end of the relationship. Send your cancellation notice in writing and keep a copy for the facilities committee files.

Step 2: Choose your new provider before you cancel

There should be no gap in cleaning service that leaves the sanctuary unready on a Sunday morning. Source and select your new provider while still under your existing contract, so the new company's start date aligns with the end of the old contract.

Step 3: Conduct a thorough walkthrough with the new provider

Walk the entire building with your new provider, pointing out:

  • Every space included in the scope — sanctuary, fellowship hall, nursery, classrooms, offices
  • Areas that require special attention or had problems with the previous company
  • Areas that should never be entered without prior arrangement (nursery during off-hours, offices, storage)
  • Locations of supplies, cleaning products, and equipment storage
  • Building access procedures (alarm codes, key protocols, and who holds them)

Step 4: Communicate the change to your congregation

Let staff, facilities volunteers, and anyone who interfaces with the cleaning crew know that the company is changing, what the new schedule is, and who to contact with feedback.

Step 5: Evaluate carefully in the first month

Do walkthroughs weekly for the first several weeks. Note any missed tasks and communicate them promptly. Establishing the standard early shapes the service quality you'll receive long-term.

Step 6: Formally end the prior relationship

Confirm in writing that the prior contract is terminated, retrieve all keys and access codes from the departing company, and ensure any outstanding invoices are settled.
